Job Summary:
As an Admin Staff at Toyota Zamboanga, you will be responsible for providing administrative support to various departments within the dealership. Your qualifications include being a graduate of any 4-year course, computer literacy with basic knowledge of Microsoft Word and Excel, and possessing good communication skills (both oral and written).
Key Responsibilities:
- Assist in the organization and maintenance of documents, records, and files.
- Ensure proper filing and documentation procedures are followed for easy retrieval of information.
- Perform data entry tasks to input information into databases or spreadsheets.
- Assist in generating reports, presentations, and other documents as required.
- Handle incoming calls, emails, and inquiries and provide assistance or redirect as necessary.
- Communicate effectively with internal staff, customers, and external parties.
- Assist in scheduling appointments, meetings, and events for dealership staff.
- Coordinate logistics for meetings, including room reservations, equipment setup, and refreshments.
- Provide general administrative support, such as photocopying, scanning, faxing, and mail distribution.
- Ensure office supplies are adequately stocked and order supplies as needed.
- Assist customers with inquiries or requests courteously and professionally.
- Address customer concerns and escalate issues to the appropriate departments as needed.
- Assist with special projects or tasks assigned by management.
- Adapt to changing priorities and handle multiple tasks simultaneously.
